IT Hardware, Procurement & Logistics Coordinator

Summary: The IT Hardware, Procurement & Logistics Coordinator is responsible for managing the procurement, logistics, and lifecycle of IT hardware within a global IT Operations function. This role involves overseeing hardware purchasing, shipping logistics, asset management, and providing end-user support, primarily based in the London office. The position requires regular on-site attendance and occasional travel to ensure effective hardware deployment and support across international locations. The role is classified as inside IR35 and requires experience in IT hardware management and supplier coordination.

Key Responsibilities:

  • Purchase IT hardware, peripherals and accessories from approved suppliers.
  • Establish and maintain supplier accounts where required.
  • Build and maintain effective relationships with hardware vendors.
  • Process purchase orders and approve supplier invoices through internal systems.
  • Monitor stock levels and replenish inventory to meet business demand.
  • Evaluate new hardware and peripheral solutions to improve the end-user experience.
  • Coordinate domestic and international shipments of IT equipment.
  • Prepare shipping documentation and customs paperwork for overseas deliveries.
  • Arrange equipment deliveries for new starters and remote employees.
  • Manage the return of hardware from leavers and remote workers, ensuring assets are recovered efficiently.
  • Coordinate transfers of equipment between London locations and global offices.
  • Work closely with international teams to maintain hardware availability across all sites.
  • Receive, record and organise incoming equipment.
  • Maintain accurate asset records and inventory databases.
  • Ensure storeroom facilities remain organised and well managed.
  • Track hardware movements throughout the asset life cycle.
  • Provide regular reporting on inventory levels and hardware availability.
  • Support the implementation and ongoing management of asset tracking tools.
  • Fulfil hardware requests and manage equipment allocation.
  • Configure and prepare Mac devices prior to deployment.
  • Coordinate hardware replacements, upgrades and repair requests.
  • Assist with Workstation setups and resolve basic hardware and connectivity issues.
  • Support ergonomic equipment requests in partnership with workplace teams.
  • Provide hardware support to colleagues across international offices.
  • Coordinate repairs with Apple and other approved manufacturers.
  • Monitor repair progress, warranty claims and service requests.
  • Process returned equipment from departing employees.
  • Prepare devices for redeployment through cleaning, testing and resetting.
  • Assess equipment to determine whether repair or replacement is appropriate.
  • Ensure devices meet company standards before reissue.
  • Oversee environmentally responsible disposal of obsolete equipment.
  • Maintain printers and other office technology where required.
  • Provide on-site "smart hands" support for remote IT colleagues when needed.
  • Assist with office moves, desk setups and hardware installations.
  • Support workplace projects involving IT equipment and office technology.
  • Develop and maintain standard operating procedures for procurement, logistics and asset management.
  • Maintain accurate records of all equipment movements and chain of custody.
  • Produce reports covering inventory, procurement activity, equipment life cycle and repair status.
  • Use tracking systems and dashboards to monitor operational performance.

Key Skills:

  • Previous experience managing IT hardware and asset inventories.
  • Strong knowledge of domestic and international shipping processes, including customs documentation.
  • Excellent organisational and coordination skills.
  • Experience supporting Apple Mac hardware and software.
  • High levels of accuracy with record keeping and documentation.
  • Strong communication and customer service skills.
  • The ability to prioritise multiple tasks while working independently.
  • Experience working with procurement processes and supplier management.
  • A willingness to travel occasionally between office locations.
  • The ability to safely lift and move IT equipment in accordance with UK manual handling guidelines (approximately 23kg).

The Opportunity

Our client is looking for an experienced IT Hardware, Procurement & Logistics Coordinator to support their global IT Operations function. This position plays a key role in ensuring employees across multiple international locations have the equipment and technology they need to work effectively.

You will oversee the end-to-end management of IT hardware, from purchasing and inventory control through to deployment, returns, repairs and retirement. A major focus of the role will be managing UK and international shipping, coordinating deliveries, handling customs documentation and ensuring returned equipment is recovered, processed and made available for future use.

Based primarily in the London office, you will also provide practical hardware support for colleagues locally and internationally. The position requires regular on-site attendance, occasional travel between offices and the ability to safely handle and move IT equipment.

Key Responsibilities

Hardware Procurement & Supplier Management

  • Purchase IT hardware, peripherals and accessories from approved suppliers.
